Buyer's guide · Philippines
Spa management software in the Philippines, a buyer's guide.
What a spa system has to get right for a Philippine day spa or wellness centre, the questions to ask before you buy one, and what decides the price.
In one paragraph
The short answer.
Spa management software books treatments against a free therapist and a free room, checks clients in and out at the front desk, sells packages, memberships and gift cards, and computes each therapist's commission. It is used by day spas, massage centres and wellness clinics. In the Philippines it must issue BIR-compliant invoices, distribute any service charge to staff under RA 11360, and keep client health notes private under the Data Privacy Act (RA 10173).

Part 1
What it must do day to day
A spa sells hours of a therapist's time in a room. A booking that ignores either one is a double booking waiting to happen, and an unpaid package session is money the spa already spent. The appointment book has to know both.
- An appointment book by therapist and by room, offering only free slots.
- Online booking, walk-ins and a waitlist.
- Client records with preferences, conditions and consent forms.
- Packages, memberships and gift cards, with sessions and balances left.
- Checkout with invoices, tips and several payment methods.
- Therapist shifts, time off and commissions per service sold.
Part 2
The Philippine rules it must follow
Every sale needs an invoice that follows BIR rules under the Ease of Paying Taxes Act (RA 11976). A gift card or package sold today and used next month should be recorded so the sale and the service both show in the books.
If the spa charges a service charge, RA 11360 requires that all of it go to the covered employees, not including managerial employees, shared equally and paid out at least twice a month. Tips given to a therapist are separate and should be tracked separately.
Spas and massage clinics need a business permit and the sanitary permit and health certificates the local government requires under the Code on Sanitation (PD 856). The Department of Tourism also accredits spas, which some spas seek for tourism partners.
Part 3
Commissions done right
Therapist pay is often a base plus a commission per treatment, sometimes different for a package session, a gift card redemption or a product sold. A system should compute it from the services actually done and the rules set for each, so the payout matches the appointment book and nobody counts by hand on payday.
Part 4
What separates a system from a spreadsheet
A paper book or spreadsheet does not stop two bookings in one room, does not know a gift card has already been used, and cannot show a therapist's commission until someone adds it up. A system does all three as the booking is made and the client checks out, and keeps a record of who changed what.
Part 5
Client health notes and privacy
Health conditions, pregnancies, allergies and contraindications on a client's card are sensitive personal information under RA 10173. Collect them with consent, show them only to the therapist who needs them, record every change and keep backups.
Before you buy
Questions to ask any vendor.
- Does online booking offer only times when both a therapist and a room are free?
- Can it track packages, memberships and gift cards with balances that cannot be used twice?
- How does it compute commissions, and can the rule differ by service, package and product?
- Does it keep service charges, tips and sales apart?
- Does it issue invoices that follow the BIR's current rules?
- Who can see a client's health notes and consent forms?
- Can it run several branches with shared clients and gift cards?

Questions
Asked and answered.
What is the best spa management software in the Philippines?
The best one for a given spa books by therapist and room, tracks packages and gift cards exactly, computes commissions from the services done, and keeps client health notes private. Compare vendors on those points.
How much does spa management software cost?
It depends on the number of branches, rooms and therapists, the service menu, prepaid products, commission rules, the modules needed and how it is hosted. A vendor should price it after seeing your spa's workflow.
Do tips count as service charge under RA 11360?
No. A service charge is added to the bill by the establishment and must be shared among covered employees. A tip is given voluntarily by the client and is kept separately.
Is spa software required by law?
No. The law requires invoices, correct pay and the permits the local government asks for. Software keeps those consistent across every booking and branch.
